1. Who we are

Visit Dock ("we") is a visit management and field execution platform available at visitdock.pt. For the purposes of the General Data Protection Regulation (GDPR — Regulation (EU) 2016/679), the controller for data collected through this website is Visit Dock. Privacy contact: info@visitdock.pt.

2. Data we collect

Account data: name, email address, role and workspace, provided at sign-up or by invitation.

Platform usage data: visits, checklists, photos, notes, routes, tasks, incidents and opportunities — entered by users during normal use. This content belongs to the customer (workspace) that enters it; Visit Dock acts as processor of that content.

Technical data: IP address, browser type and access logs, for security and diagnostics.

Demo form: name, email and company when you request a demo.

3. Purposes and legal bases

We process personal data to: (a) provide the service — performance of a contract (art. 6(1)(b) GDPR); (b) respond to demo and support requests — pre-contractual steps and legitimate interest (art. 6(1)(b) and 6(1)(f)); (c) security and abuse prevention — legitimate interest (art. 6(1)(f)); (d) website analytics (Google Analytics) — only with your consent (art. 6(1)(a)), which you can withdraw at any time.

4. Sharing and processors

We do not sell personal data. We use providers that process data on our behalf: web hosting (server in the EU/EEA), email delivery (notifications and reports) and Google Analytics (statistics, consent only). Appropriate contractual safeguards under the GDPR are in place with all providers.

5. Retention

Account and platform data are kept while the account or workspace is active and deleted or anonymised after closure, unless we are legally required to retain them. Technical logs are kept for short periods. Demo request data is kept for at most 24 months.

6. Cookies

Essential (no consent required): authentication session cookie; visitdock_lang (chosen language, 12 months); vd_cookie_consent (your cookie choice, 12 months).

Analytics (consent only): Google Analytics (_ga, _ga_*) — aggregated site usage statistics. Without consent these cookies are never set.

You can change your choice at any time via the "Manage cookies" link in the footer.

7. Your rights

Under the GDPR you have the right of access, rectification, erasure, restriction, portability and objection. To exercise any right, write to info@visitdock.pt. You also have the right to lodge a complaint with a supervisory authority — in Portugal, the CNPD (cnpd.pt).

8. Security

We apply appropriate technical and organisational measures: encrypted transport (HTTPS), hashed passwords, role- and workspace-based access control, and audit logs. API keys are stored irreversibly (hashed) and photos shared via the API use signed URLs with limited validity.

9. Changes

We may update this policy; the date at the top indicates the version in force. Material changes will be announced on the site or by email.
